MEDICAL CLINICS / WORKFLOW GUIDE

Clinic appointment and reception administration

Reduce repeated scheduling work at the reception desk

The challenge

Reception teams repeatedly answer booking questions, request missing details, coordinate appointment changes, and prepare reminders. When information is scattered across messages and calendars, requests can be overlooked.

The workflow

Appointment requests are organised by service, preferred time, and administrative requirements. Missing details are highlighted, and reception staff receive a suggested next action.

With authorised scheduling access, the workflow can check available appointments and prepare confirmation or rescheduling messages. Availability is checked again before a booking is committed.

  1. Request appointment
  2. Check live schedule
  3. Confirm booking

Handle a rescheduling request without a double booking

Suppose a patient asks to move an appointment to Thursday afternoon. The workflow matches the request to the existing booking and presents suitable available slots to reception. Ambiguous patient details are sent back for clarification.

Before reception confirms a replacement, the schedule is checked again. If another booking has taken the slot, staff receive fresh options. The old appointment is released only as part of the confirmed change, and the reminder follows the new time. The record shows who approved the update.

Human review

Clinical questions and unclear requests go to qualified staff.

How to measure improvement

Track unanswered requests, scheduling corrections, reception handling time, and reminder completion.
