SALES / WORKFLOW GUIDE
Proposal preparation and sales administration
Move from scattered notes to a proposal ready for review
The challenge
Preparing a proposal often means searching through meeting notes, service descriptions, pricing sheets, and previous documents. Reusing an old proposal can introduce outdated prices, incorrect scope, or commitments that were never agreed.
The workflow
An approved opportunity brief becomes the starting point. Relevant services and deliverables are selected from a controlled reference library. The workflow prepares a proposal draft, lists assumptions, and flags questions that need an answer.
Once reviewed, the document can be exported into the required format, with a corresponding CRM update prepared.
- Collect brief
- Retrieve approved content
- Review proposal
Build a quote without inheriting old promises
Suppose an opportunity needs monthly reporting for three departments. The workflow uses the agreed brief, current service catalogue, and pricing sheet to draft the scope and calculate the relevant line items. It shows the source version beside the calculation.
If a setup fee is missing or a delivery date has not been agreed, the draft leaves an explicit question for the account owner. A later change from three departments to five updates the quantities and highlights the changed scope for review before the proposal is sent.
Human review
The account owner approves pricing, scope, discounts, and delivery commitments.
How to measure improvement
Track preparation time, revision rounds, and corrections required before sending.
