SPECIALISED AGENTS / WORKFLOW GUIDE
Recruitment intake and interview coordination
Organise applications, interview scheduling, feedback, and candidate communication
The challenge
Recruiters move between applications, calendars, interview notes, and email. Missing information and delayed feedback create repeated administration and leave candidates waiting for updates.
How the agents work together
An intake agent organises applications against the relevant vacancy and flags missing information. A record agent prepares factual summaries of candidate supplied experience with references back to the application. Once a recruiter selects candidates for interviews, a scheduling agent coordinates availability. A feedback agent collects interviewer responses, and a communication agent prepares status updates for approval.

Keep one interview from becoming a week of chasing
Suppose a recruiter selects an applicant for a technical interview. The scheduling agent collects the candidate’s availability, checks the interviewers’ calendars, and prepares a proposed slot with the time zone shown explicitly. Once confirmed, the application record links to the meeting and interview brief.
After the interview, the feedback agent identifies missing assessments and drafts reminders to the relevant interviewers. The recruiter receives the original feedback together with a draft candidate update. If an interviewer has not responded, that gap remains visible; the agent does not fill it with an invented assessment.
Where people approve decisions
Recruiters make shortlisting and hiring decisions, verify summaries, and approve candidate communications. Interviewers provide their own assessments; agents organise feedback without inventing it.
How to measure improvement
Track scheduling time, overdue interviewer feedback, duplicate records, candidate update delays, and recruiter administration time.
