LARGE ORGANISATIONS / WORKFLOW GUIDE

Employee onboarding and internal service requests

Give internal requests an owner, status, and clear next action

The challenge

Onboarding involves several departments, each responsible for different tasks. Equipment requests, account setup, orientation, and document collection can become disconnected, leaving unclear ownership and missed deadlines.

The workflow

An approved onboarding request generates a checklist based on the employee’s role, location, and start date. Tasks receive an owner, due date, and completion requirement.

The workflow identifies overdue items and prepares reminders. Similar routing can support internal requests for equipment, facilities, and routine administrative services.

  1. Submit request
  2. Find policy and owner
  3. Track resolution

Make a new starter’s first day ready

For example, a new employee starts on Monday and needs a laptop, an account, and an induction slot. The approved role template creates three tasks with named owners and deadlines. The progress view shows that the laptop is ready but account approval is still outstanding.

The workflow drafts a reminder to the approver and flags the dependency to the onboarding coordinator. Moving the start date updates the planned deadlines. A task closes only when its owner records completion, so a reminder being sent is never mistaken for the work being done.

Human review

Authorised staff approve account creation, access permissions, and sensitive HR actions.

How to measure improvement

Track onboarding completion, overdue tasks, reassignment frequency, and time spent chasing updates.
